Fraserburgh Fitness Centre is committed to protecting your privacy and handling your personal information responsibly, securely and transparently.

This policy applies to members, customers, parents and guardians, martial arts students, gym users, class participants and anyone using the Fraserburgh Fitness Centre ClubRight app, Member Area or associated booking services.

1. Who we are

Fraserburgh Fitness Centre is responsible for the personal information we collect and use in connection with our services.

For the purposes of UK data protection law, Fraserburgh Fitness Centre is the Data Controller for the personal information covered by this policy.

When you register with us, purchase a membership, book a class, use our facilities or communicate with us, we may collect information including:

  • Details relating to children or dependants added to a parent or guardian's account

  • Access records generated when using the ClubRight app, barcode or QR access system

  • Relevant health or medical information that you voluntarily provide where necessary for participation or safety

We only collect information that is reasonably required to provide our services and safely operate Fraserburgh Fitness Centre.

3. Profile photographs

ClubRight allows members to add or take a profile photograph as part of their membership profile.

Profile photographs are used solely to allow authorised Fraserburgh Fitness Centre staff and senior instructors to easily identify members and confirm that the correct person is using a membership, attending a class or accessing our facilities.

Profile photographs:

  • Are not used for advertising or marketing

  • Are not shared publicly

  • Are not made available for other members or customers to browse or view

  • Will not be shared with other people or organisations

  • Are only viewed where reasonably necessary by authorised staff and senior instructors

We treat profile photographs as part of your confidential membership record.

4. Children's information

Many of our martial arts and fitness activities are available to children and young people.

Where a child is registered through a parent or guardian's account, we may hold information relating to both the child and the responsible adult.

This may include the child's:

  • Name

  • Date of birth

  • Profile photograph

  • Membership

  • Class bookings

  • Attendance

  • Emergency contact details

  • Relevant medical or safety information supplied by their parent or guardian

Parents and guardians are responsible for ensuring that information provided about their child is accurate and kept up to date.

Information relating to children is only used for legitimate purposes connected with providing and safely managing our activities and services.

5. How we use your information

We may use your personal information to:

  • Create and manage your membership account

  • Administer memberships and subscriptions

  • Allow you to book classes and activities

  • Manage gym and facility access

  • Identify members using profile photographs

  • Record attendance

7. ClubRight

We use ClubRight as our membership management system.

ClubRight enables us to manage services including:

  • Member accounts

  • Memberships and subscriptions

  • Class bookings

  • Attendance

  • Facility access

  • Member communications

  • Membership records

Personal information entered into the ClubRight app or Member Area is stored and processed through the ClubRight platform to provide these services to Fraserburgh Fitness Centre and its members.

We do not sell member information or provide ClubRight information to unrelated organisations for their own marketing purposes.

8. Bank details and Direct Debits

Fraserburgh Fitness Centre does not directly collect or store your bank account or Direct Debit details, Nor does ClubRight.

When you choose to set up a Direct Debit through our ClubRight system, you are directed through the secure payment process operated by London & Zurich, our Direct Debit payment processor.

Your bank details are entered directly into the payment processor's system rather than being provided directly to Fraserburgh Fitness Centre.

London & Zurich is a Bacs-approved Direct Debit processor and is authorised and regulated by the Financial Conduct Authority for the provision of payment services. Their systems are designed to meet the security, regulatory and compliance requirements applying to UK Direct Debit processing.

Fraserburgh Fitness Centre may receive information confirming matters such as:

  • Whether a Direct Debit has been established

  • Payment amounts

  • Payment dates

  • Whether a payment has been successful or unsuccessful

  • Membership payment status

We do not receive your full bank account information through this process.

9. Payment records

Although we do not collect or store your bank account details, we keep appropriate records relating to payments made to Fraserburgh Fitness Centre.

These may include:

  • Amount paid

  • Date of payment

  • Membership or service purchased

  • Payment status

  • Refunds or adjustments where applicable

These records are required for membership administration and our financial and accounting obligations.

10. Sharing your personal information

Fraserburgh Fitness Centre does not give, sell, rent or trade your personal information.

We do not routinely share members' personal information with IT providers, software providers, banks, payment processors, professional advisers, accountants or regulatory bodies.

Information will only be disclosed outside Fraserburgh Fitness Centre where there is a genuine and lawful requirement to do so.

  • It is necessary to protect the safety of a member or another person when lawfully required.

  • You have specifically authorised us to disclose information

The use of ClubRight and London & Zurich does not mean Fraserburgh Fitness Centre manually provides those organisations with copies of our membership database. Information necessary to use those services is processed through the relevant systems as part of providing the service.

11. Marketing and member communications

We may contact members about matters relating to Fraserburgh Fitness Centre, including:

  • Class and timetable changes

  • Membership information

  • Facility updates

  • Events

  • Service changes

  • Important announcements

  • Activities available through Fraserburgh Fitness Centre

Where consent is legally required for marketing communications, we will request it.

You can opt out of marketing communications where applicable.

Important service communications concerning your membership, booking, payment, account, facility access or safety may still be sent where necessary.

12. CCTV

CCTV may operate within and around Fraserburgh Fitness Centre for purposes including:

  • Safety

  • Crime prevention

  • Protection of customers, staff and property

CCTV recordings are only accessed where there is an appropriate reason to do so and are retained for an appropriate period.

Recordings will not be shared unnecessarily and would only be disclosed where there is an appropriate lawful reason, for example to police or other authorised authorities investigating an incident.

13. Sunbed booking system

The only external booking website that members may be directed to from our ClubRight system is our separate sunbed booking system.

The same Fraserburgh Fitness Centre privacy principles contained within this Privacy Policy apply to information provided when using our sunbed booking service.

Information collected through the sunbed booking system will only be used for purposes relating to your booking, account, customer service, safety and the operation of Fraserburgh Fitness Centre.

14. How long we keep your information

We do not keep personal information for longer than reasonably necessary.

How long information is retained will depend upon:

  • The reason it was collected

  • Whether you remain an active member

  • Legal and financial record-keeping requirements

  • Insurance requirements

  • Safeguarding requirements

  • Whether information may reasonably be required in connection with a complaint, dispute or legal claim
